Everything you need to know about Vantaca

What is Vantaca?

Vantaca is a community management software that will replace our current system, VMS (Village Management Software).

Why the change?

This significant upgrade will provide a secure, centralized portal for more efficient engagement, easy access to information, and a centralized place to see design review, compliance, and work orders. Additionally, Vantaca offers a mobile app allowing on-the-go access to account information, convenient payment options, and self-service capabilities.

Will our account numbers change?

Yes, homeowners will be provided with a new account number in the email they receive about how to log in to Vantaca on July 1. Please watch for an email from connect@coherelife.com. Save your account number, as it may be needed as resident verification for signature events in the future.

How do I log in?

On July 1, as mentioned above, homeowners will receive an email with account details including your account number and log-in information for Vantaca from connect@coherelife.com. Please check your spam folder if you do not receive an email on July 1.

This initial email will provide easy-to-follow instructions on how to set up your account. Once logged in, you’ll be able to pay assessments and set up ACH.

It’s crucial that you log in and set up your account in Vantaca right away — VMS won’t be available after June 30.

When will my Vantaca assessment account be up to date?

Since account migration begins on July 1, your account will not show the correct balance right away. It’ll take a month or two for everything to reflect properly. Assessment amounts stay the same, so you can continue to pay your normal amount. Payments during the migration period will show in your account once all data has been updated.

How can I make assessment payments?

If you manually pay through VMS: Through June 30, use can use your current method of payment. At 11:59 p.m. on June 30, you will no longer be able to access VMS. If you’d like to make sure your July payment is processed before the switch, you’re welcome to pay your July balance in June through VMS. After July 1, you’ll use Vantaca for payments.

ACH: If you are currently enrolled in ACH, it will roll over to your new account but could be slightly delayed. You should still log in to Vantaca to ensure you have access to your account.

Auto-pay through your bank: Update your payment with your new account number for payments processed after June 30 and ensure the payment address is PO Box 64685, Phoenix, AZ 85082.

Check: Send to PO Box 64685, Phoenix, AZ 85082. Please make it out to Kissing Tree Master Community and include your new account number.

First Citizens property-pay portal: You won’t have to update anything, but you should still log in to Vantaca to ensure you have access to your account.

Are there fees to pay my assessments?

Here are the ins and outs of your payment options.

Free ways to pay

For free ACH payments, click the “Enroll” link on the Vantaca billing page. If you were previously enrolled in ACH, it will automatically transfer to your new account, but it may take a few days to reflect in the Vantaca system.

Another free way is to pay through your bank’s online banking system. Log into your bank and set up a recurring payment using your new assessment account number. Make sure it’s sent to the following address: PO Box 64685, Phoenix, AZ 85082.

Lastly, you can send a check by mail. Include your account number and make it payable to Kissing Tree Master Community, PO Box 64685, Phoenix, AZ 85082.

Other ways to pay in Vantaca

You’ll find both of the following options when you click on “Make a Payment.” They incur fees, but will work in a pinch.

  • Pay using a credit card in Vantaca — 3.65% charge applies for each processed payment. All major credit cards are accepted, even if it’s recurring.
  • Have Vantaca pull a payment from your bank a fee of $2.99 charge applies for each processed payment, even if it’s recurring.

Will late fees be enforced?

No late fees will be assessed for incorrect payments while the full data transition is in progress. Once complete, we will communicate a defined grace period for those impacted.

Do I have to use Vantaca?

Yes, it is crucial that you log in and set up your account in Vantaca. VMS won’t be available after June 30 at 11:59:59 p.m. PST/AZ.

On July 1 make sure your payments are set up the way you’d like in Vantaca. After that, you can access the portal as frequently or infrequently as you’d like.

Can I still email Community Life?

Yes, all communications submitted through ktmc@coherelife.com or online forms will be captured in Vantaca for efficient handling. You can respond to the Community Life team by replying to an email chain or by logging into the Vantaca portal. Either way, communications are saved in Vantaca for future reference.

What stays the same?

Here’s the great news, a lot of what you know will remain the same, including your association’s assessment and fee schedule, resident website, forms, amenity access, and onsite Community Life team.

Is there a Vantaca mobile app?

Yes, you can access your assessment account via the Home by Vantaca app, available on iOS and Android. You’ll also receive a link that you can access from your phone or desktop browser.
